1. Who We Are

Ritemails is a digital mail and document management service that enables users to securely receive, upload, store, organize, and interact with personal and business documents in one place. The service allows users to manage physical and digital correspondence, including letters, invoices, statements, and other records, and to access intelligent tools that help extract, organize, and retrieve information from those documents.

Ritemails provides features such as document scanning, cloud storage, document categorization, searchable archives, and AI-assisted interactions that allow users to query, summarize, and manage their documents more efficiently. The service may also integrate with third-party platforms and communication tools to enable users to access and manage documents originating from multiple sources.

Ritemails is designed to help individuals and organizations reduce administrative friction, maintain better oversight of their documents, and interact with their information in a secure, centralized, and intelligent way.

Ritemails is owned and operated by Ritestack Limited, registered in England and Wales.

2. Eligibility

2.1 Minimum Age

To create your own Ritemails account, you must:
• be at least 16 years old,
• or be aged 13–15, in which case a parent or legal guardian must create the primary account and add you as a supervised user.
Children under 16 cannot create their own account.

2.2 Parental Responsibility

Parents or guardians adding a child confirm that:
• they are the child’s legal guardian
• they consent to the processing of the child’s data
• they will monitor the child’s activity
• they accept responsibility for the child’s use of the Services

2.3 Age Verification via Authentication Providers

If you sign up using Google, Apple, or Microsoft, Ritemails may read your age information provided by the identity provider. If you are under 16, direct registration will be blocked.

3. Authentication & Account Security

3.1 Authentication Methods

Users with verified business domains (e.g., “…@company.com”) may sign up with email. All other users must sign up via Google, Apple, or Microsoft authentication.

3.2 You Agree To:

• provide accurate information
• keep your login credentials secure
• notify us immediately of unauthorised access

You are responsible for all activity under your account.

4. Use of the Services

You may use the Services only for lawful purposes. You agree not to:

• upload unlawful, offensive, harmful, or infringing content
• upload documents belonging to others without permission
• attempt to interfere with or disrupt the Services
• reverse-engineer, decompile, or copy any part of the Services
• access the Services using automated scripts, bots, or scraping tools
• exceed your plan limits or circumvent plan restrictions

We may suspend or terminate your account if you breach these Terms.

5. Cloud Storage

Ritemails provides cloud storage only. We do not offer local or offline storage. All letters, uploads, attachments, and data you store in Ritemails are stored securely in the cloud.

6. Storage Add-Ons (Paid Upgrades)

Your subscription includes a set amount of cloud storage. If you need more, you may purchase a Storage Add-On.

6.1 Billing

Storage Add-Ons increase your monthly or annual subscription price. If purchased mid-cycle: Monthly subscribers pay the new price from the next billing period; Annual subscribers will pay the increased price at their next renewal. Storage Add-Ons are non-refundable once activated.

6.2 Subscription Requirement

Storage Add-Ons require an active subscription. If your subscription expires:
• your Storage Add-On pauses
• you lose access to the additional storage
• it reactivates when you resubscribe

6.3 Usage

If you exceed your storage limit:
• uploads may be blocked
• certain features may stop working
• you may need to purchase more storage or upgrade to a higher plan

6.4 Downgrades

You may reduce your storage at your next billing cycle. Downgrades do not trigger refunds for unused capacity.

7. AI Credits & Top-Ups

Some Ritemails features require AI credits. Your subscription includes a monthly allocation that resets each billing month.

7.1 Top-Up Credits

If you run out before the reset, you may purchase additional AI credits. Top-up credits:
• are available immediately
• are non-refundable once delivered
• do not expire while you have an active subscription

7.2 Subscription Requirement

Top-up credits can only be used while you have an active subscription. If your subscription ends, your top-up credits pause until you resubscribe.

7.3 Priority Order of Use

Credits are consumed in this order:
1. monthly AI allocation
2. top-up credits
3. new monthly allocation at reset

7.4 Annual Subscribers

When the monthly allocation resets, it is used first; if exhausted again, any remaining top-up credits are used automatically.

7.5 Usage Tracking

Ritemails tracks AI credit usage automatically. Our internal usage calculations are final.

8. AI Features and Automated Processing

Ritemails uses AI to:
• categorise letters
• summarise content
• draft replies
• extract dates, deadlines, and key information
• suggest or create calendar events

8.1 No Legal or Significant Effects

AI outputs:
• are suggestions only
• do not produce legal, financial, or materially significant effects
• must be reviewed and confirmed by you
• do not constitute legal, financial, or professional advice

You are responsible for verifying accuracy before taking action.

9. Subscriptions, Payments & Refunds

9.1 Immediate Activation

Your subscription becomes active immediately upon purchase.

9.2 Loss of Cooling-Off Right

Because the service begins immediately, you agree that:
You lose your 14-day cooling-off right under UK consumer law once you start using the service.

9.3 No Refunds

Payments are non-refundable, including for partial months, except where required by law or in cases of billing error.

9.4 Auto-Renewal

Subscriptions renew automatically unless canceled.

9.5 Cancellation

You may cancel anytime. You retain access until the end of the billing period.

10. User Content

You retain ownership of content you upload (“User Content”).
You grant us a limited licence to store, process, and display your content solely to provide the Services.
You are responsible for ensuring your content does not violate laws or third-party rights.
We may remove content that breaches these Terms.

11. Service Availability

We aim for reliable Service, but interruptions may occur due to maintenance, upgrades, or technical issues. We are not liable for downtime or data loss beyond what the law requires.

12. Third-Party Integrations

Ritemails integrates with Google, Apple, Microsoft, Cal.com, Zoho Calendar, Notion Calendar, and other services. Their use is governed by their own terms. We are not responsible for their availability or data handling.

13. Security

We implement technical and organisational measures to protect your data, including encryption and access controls. You must keep your credentials secure and notify us of unauthorised access.

14. Limitation of Liability

To the fullest extent permitted by law:
• we are not liable for indirect or consequential damages
• we are not liable for lost profits, lost data, or business interruptions
• our total liability is limited to the amount paid in the 3 months before the claim

Nothing excludes liability for death, personal injury, or fraud.

15. Termination

We may suspend or terminate your account if:
• you breach these Terms
• required by law
• we discontinue the Services

Upon termination:
• your license ends
• stored content may be deleted after a grace period or as may be required by law

16. Privacy

Our Privacy Policy explains how we handle your personal data. By using Ritemails, you agree to our Privacy Policy.

17. Changes to These Terms

We may update these Terms occasionally. We will notify you of material changes. Continued use means you accept the updated Terms.

18. Governing Law

These Terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the English courts, except where consumer laws provide otherwise.
